6 Reasons You Need a Timeclock

Keeping track of your employees’ hours can be hard. It can take a lot of time and energy. You can make it easier on yourself (and your employees) by using a timeclock. If you’re unsure if you need a timeclock, check out these six reasons to get one.

1. To Save Time and Money

Having your employees clock in and out on a timeclock can save you a lot of time and money.

If you currently have your employees filling out timesheets, you probably have to chase them down to get the timesheets from them every week. With a timeclock, you won’t have to do that because everyone’s time information will be stored in one place.

With a timeclock, you won’t have to crunch the numbers to figure out how long each employee worked because the math will be done for you. This will also make your payroll more accurate; you’ll know that you’re only paying hourly employees for time worked.

If you use an online system, like Workful, your employees’ timeclock information will automatically pull into your payroll, making it even easier!

2. To Reduce Fraud

Unfortunately, employee time fraud happens, but timeclocks can reduce it.

When you’re using wall-mounted time cards, employees can ask their friends to clock them in if they’re running late, or clock them out so they can knock off a few minutes early. With an online timeclock, they won’t be able to do that without giving their friends their username and password (which would give their friends access to more personal information, too).

If your employees work in an office or store, you can get a timeclock that works with a beacon. With a beacon, employees can only clock in from a certain location, so you won’t have to worry about someone clocking in from home.

When you ask your employees to fill out a spreadsheet with their times, they can make up whatever times they want. With a timeclock, they won’t be able to claim they got in at 8, if they didn’t actually show up until 9.

3. To Keep Things Fair

Your employees want to know that there’s a level playing field. If your employees manually write down their hours worked, your honest employees might worry that other employees are lying about when they actually worked. Since a timeclock will help prevent employees from lying about when they worked, everyone will know that everyone else is only being paid for time worked.

4. To Track Attendance Issues

If you don’t have a timeclock, it can be difficult to determine if someone has attendance issues. With a timeclock, you’ll quickly be able to determine if someone is regularly coming in late, leaving early, or taking extra-long lunches. You’ll be able to nip the problem in the bud before other employees start to notice, get frustrated, and become disengaged.

5. To Determine if You Need to Hire Someone

With a timeclock, you’ll also easily be able to notice if someone (or a whole department) is regularly working overtime. You’ll be able to sit down with them and determine if their workload really does require them to work overtime.

If it turns out that the employee just isn’t as productive during the day as they could be, you can talk to them about what they need to be more productive. If they just don’t have enough time during the day to get everything done, then it might be time that you hire someone else to help them.

6. To Keep Up with Remote Employees

If you have remote employees, it can be particularly hard to keep track of their hours. With an online timeclock, they can clock in from anywhere. You’ll also be able to see if they’re clocked in or not, so you’ll know when you can call them.
